4.   Personal DATA Protection Policy

4.1.      Authorized User login

Ricoh Innovations Private Limited – RIPL, may collect any or all of the information, including but not limited to the following types of SPDI (hereinafter collectively referred to as “Information”) either directly from you, and /or via third parties who have engagements with RIPL.

·            Gender related information

·            Medical records; including Body Temperature, Blood Pressure, Chief Complaint, Past medical history,

·            Basic physical information like height, weight, age and related medical condition

·            Any prior medications, if taken

·            Details relating to the above as provided to your employer

·           Additional medical information based on

◘ Clinical staff’s interactions with you

◘ diagnosis / differential diagnosis

·            Health reports pertaining to you that are either uploaded or are scanned and uploaded into the systems developed by RIPL

The Information is collected in the following manner:

·       at the point(s) of care via dedicated web applications / portals built by RIPL for providing services.

·       at the point of care by the clinical staff engaged by RIPL

Clinical staff may include but will not be limited to doctors and nursing staff, who are directly responsible for providing you with clinical care and shall have access to your Information. The Information that is collected by RIPL shall also be accessible to transcribers who are responsible for transcribing handwritten documents created by the clinical staff into machine readable formats.


By providing us your Information either directly and / or via a third party, you hereby consent to our collection, storage, disclosure, processing and transfer of such Information for the purposes as disclosed in this policy.  You are providing the Information out of your free will. You have the option not to provide us the Information sought to be collected if you do not agree with this policy.


4.2.      Withdrawal of Consent

Further, you will have the option to not provide your consent to provide any Information to us, or withdraw any consent given earlier, provided that the decision to not provide consent / withdrawal of the consent is communicated to us at Kindly note that if you withdraw the consent to provide us with the Information at any point in time, we may not be able to provide you with the benefits and fulfill the purpose for which such information was sought to be collected.


4.3.      Purpose Of Collection

RIPL may use such Information (including in aggregated and anonymized form) for such purposes as may be specified to you at the time of collection of the Information and for the purpose of conducting its business including but not limited to

(ii)            Generating statistics at the level of population to:

(iv)           In the case of any medical emergencies or to address any complaints / concerns / issues raised;

(v)            To deal with any complaints / concerns / issues raised;

(vi)           Provide any services as may be required under RIPL’s engagement with the relevant third parties, or such purposes as may be specified under this policy;

(vii)         Research and business activities and other statistical purposes

(viii)        To develop its marketing campaigns (only aggregated and anonymized data);

(ix)           Predict specific health events of individuals; and

(x)            Determine care strategies for individuals, such as:

◘ Overall wellness

◘ Potential hospitalization

◘ Chronic care management


4.4.      Disclosure and Transfer of Information

Our data is stored in India however you authorize us to transfer, share, part with your Information, across borders and from your country and jurisdiction to any other countries and jurisdictions across the world (including India), with our affiliates / agents / third party service providers / partners and other agencies for purposes specified under this Policy or as may be required by law or in the event of a merger, asset sale, or other relate d transaction.


You acknowledge that some countries where we may transfer your Information may not have data protection laws which are as stringent as the laws of your own country. You acknowledge that it is adequate that when RIPL transfers your Information to any other entity within or outside your country of residence, RIPL will place contractual obligations on the transferee which will oblige the transferee to adhere to the obligations applicable to RIPL under the Information Technology (Reasonable security practices and procedures and sensitive personal data or information) Rules, 2011. 4.5.      Security Practices and Procedures

To prevent unauthorized access or disclosure, maintain data accuracy, and ensure the appropriate use of Information, RIPL has put in place appropriate physical, electronic, and managerial procedures and policies to safeguard and secure your Information. Such policies and procedures are documented and are available at the Ricoh’s internal web site at


We use industry-standard encryption methods in conjunction with firewalls to enhance the security of data transmissions as mentioned in our internal policies. You acknowledge and agree that such data protection methods are reasonable, secure and adequate for the purpose of your Information. While RIPL will endeavor to take all reasonable and appropriate steps to keep secure any Information which we hold about you and prevent unauthorized access, you acknowledge that no electronic medium / security measure is 100% secure and that we cannot provide any absolute assurance regarding the security of the Information collected. RIPL will not be liable in any way in relation to any breach of security or unintended loss or disclosure of Information caused by us in relation to the information collected.

RIPL will continue to store / retain your Information for a minimum period of years or for the time period as required by law, to fulfill the purposes set out in this policy
